RoboLynk ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our website (robolynk.com), cloud platform (robolynk.cloud), mobile applications, and robotics software (collectively, the "Services").

1. Information We Collect
Account Information
- Username, email address, and password (hashed)
- Account tier and subscription information
- Account creation date and login history
Voice & Audio Data
- Voice recordings captured through our mobile app or robot microphone when you initiate a voice command
- Audio is transcribed using OpenAI Whisper and then discarded — we do not permanently store raw audio files
- Transcribed text may be stored as part of your conversation history
Conversation & Chat History
- Text of conversations between you and the RoboLynk AI assistant
- Robot commands issued through the platform
- AI responses generated on your behalf
Device & Robot Data
- Robot identifiers and registration information
- Robot status data: battery level, WiFi signal, uptime, last seen timestamp
- Robot diagnostic and performance logs
Location Data
- Approximate geographic location (city/region level) derived from your IP address, used to display local weather information on the robot display
- We use ip-api.com for this purpose — no precise GPS location is collected
Technical Data
- IP address, browser type, operating system
- Pages visited and features used within our platform
- Device identifiers for mobile apps
2. How We Use Your Information
- To provide, operate, and maintain the Services
- To process voice commands and generate AI responses via OpenAI API
- To authenticate you and manage your account
- To display weather and local information on your robot
- To send service notifications (account expiry, security alerts)
- To improve platform reliability and performance
- To comply with legal obligations
We do not sell your personal information. We do not use your data for advertising or share it with marketing partners.
3. How We Share Your Information
We share your data only as necessary to operate the Services:
- OpenAI — Voice transcription (Whisper) and AI response generation (GPT). OpenAI processes data under their Privacy Policy and we have a Data Processing Agreement in place.
- ip-api.com — IP-based location lookup for weather display. Only your IP address is shared; no account information.
- Stripe — Payment processing for subscriptions. We do not store full card details.
- Legal requirements — We may disclose information if required by law, court order, or to protect the rights and safety of our users.
4. Voice Recording & AI Processing
Important: When you use push-to-talk or voice chat features, your voice is recorded, transmitted securely to our servers, and forwarded to OpenAI for transcription. By using these features, you consent to this processing. You can choose not to use voice features at any time.
RoboLynk AI responses are assistive tools. All robot actions remain under the user's control and responsibility. Users should review AI responses before acting on them, particularly for physical robot movements.
5. Data Retention
- Voice audio: Not retained — processed in real time and discarded
- Conversation history: Retained while your account is active; deleted within 30 days of account deletion
- Account data: Retained for the duration of your account plus 90 days for legal compliance
- Robot logs: Retained for 12 months then automatically purged
6. Data Security
We use industry-standard security measures including TLS encryption for all data in transit, hashed passwords (never stored in plain text), and restricted access controls. While we take reasonable precautions, no system is completely secure and we cannot guarantee absolute security.
7. Children's Privacy
Our Services are not directed to children under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe we have inadvertently collected such information, please contact us immediately at privacy@robolynk.com.
8. California Residents — Your CCPA Rights
If you are a California resident, you have the following rights under the CCPA/CPRA:
- Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you
- Right to Delete: Request deletion of your personal information, subject to certain exceptions
- Right to Correct: Request correction of inaccurate personal information
- Right to Opt-Out: We do not sell or share personal information, so there is nothing to opt out of
- Right to Limit Sensitive Data Use: Request that we limit use of sensitive personal information (such as voice recordings) to purposes necessary to provide the Services
- Right to Non-Discrimination: We will not discriminate against you for exercising any of these rights

9. Automated Decision-Making
RoboLynk uses AI to generate conversational responses and robot commands. These AI systems assist users but do not make autonomous significant decisions about individuals (such as employment, credit, or healthcare). All robot actions are executed under user direction and supervision.
10. Third-Party Links
Our website and platform may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the Services after changes constitutes acceptance of the updated policy.
